2.What We Collect

• Contact details — name, phone number, email address, mailing/service address
• Project and property information — service address, building type, project scope, sketches or blueprints you share with us
• Job documentation — before/after photos taken during installation for quality assurance and warranty purposes
• Billing information — invoicing details for services rendered (we do not store full payment card numbers)
• Technical and website analytics data — collected automatically via Google Analytics (GA4) and our website host, including your IP address, device and browser type, pages viewed, approximate location, and how you arrived at our site

We do not claim that this website uses no cookies — it uses cookies placed by Google Analytics as described in Section 5.

3.Why We Collect It

We collect personal information to respond to your inquiries, prepare quotes, schedule and perform installation work, document and warranty completed jobs, invoice for services, communicate with you about your project, meet our legal, tax, and insurance obligations, and operate and secure our website. We will seek your consent before using your information for any new purpose not described here.

4.Consent

By engaging OpticPulse for a quote or service, or by submitting our website contact form, you consent to the collection, use, and disclosure of your personal information as described in this policy. You may withdraw consent at any time, subject to legal or contractual limitations (for example, we cannot delete billing records we're legally required to keep). Under Canada's Anti-Spam Legislation (CASL), we will only send you marketing messages with your consent and a working unsubscribe option — project updates, quotes, invoices, and warranty communications are not marketing and do not require separate consent.

5.Who We Share It With

We do not sell, rent, or trade your personal information. We share personal information only with the following categories of service providers, and only as needed to operate our business:

• Google Analytics (GA4) — website traffic analytics. Google Analytics collects your IP address, device and usage data, and may process this data on servers located outside Canada, including in the United States, where it is subject to that jurisdiction's laws. See Google's Privacy Policy at policies.google.com/privacy. You can opt out of Google Analytics tracking through your browser's cookie settings or by installing the Google Analytics Opt-out Browser Add-on.
• Web3Forms — processes and delivers submissions from our website contact form to us.
• Netlify — hosts our website.
• Phone, SMS, email, and messaging providers — including VoIP and WhatsApp where used, to communicate with you about your project.
• Payment and accounting tools — to process invoices and payments.
• Legal or insurance professionals, or as required by law — for example, in response to a valid legal request.

Some of these providers store or process data outside Canada, primarily in the United States, where it is subject to the laws of that jurisdiction.

6.Retention

• Inquiries that do not become a booked job — retained up to 2 years
• Customer, project, and warranty records — retained for the duration of the project plus the applicable warranty and legal limitation period
• Financial and tax records — retained a minimum of 7 years as required by the Canada Revenue Agency

Once these periods expire, records are securely deleted or destroyed.

7.Safeguards

We protect your personal information using access-controlled and password-protected accounts and devices, encrypted (HTTPS) connections on our website, least-privilege access limiting who can see your data internally, and secure disposal of records no longer needed. In the event of a data breach that poses a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.

8.Your Rights

You have the right to access the personal information we hold about you, know how it has been used and disclosed, and request correction of inaccurate information. We will respond to your request within 30 days, subject to verifying your identity and any limited legal exceptions that may apply.

9.Job-Site Photos

Photos taken during installation are used internally for quality assurance and warranty documentation. If we would like to use a photo of your home or business for marketing purposes, we will ask your permission first, and any marketing photo will never identify your address, family members, or personal belongings.

10.Children

Our services are provided to adults. We do not knowingly collect personal information from individuals under the age of 18.

11.Complaints

If you have a concern about how we've handled your personal information, please contact our Privacy Officer first using the details in Section 1. If you're not satisfied with our response, you may also contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.

12.Changes to This Policy

The current version of this Privacy Policy is always posted on our website with its effective date. We will flag any material changes to how we handle your personal information.
